This section provides orientation on using authoritative documents, available through the Knowledge module.
An authoritative document can be defined as any document that an organization needs to be in compliance with, such as internal policies, codes of conduct, laws, regulations, and others. An authoritative document may contain information on concepts, references, principles, guidelines, numbered items, and, in particular, requirements. This information is generally organized or classified hierarchically, which facilitates identification, readability, and association with other information necessary for compliance-related activities.
Within the system, requirements correspond to rules and standards subject to verification whose compliance can be analyzed in the Compliance module. Modulo provides a number of authoritative documents for a wide range of applications. Custom authoritative documents can also be created exclusively for your organization, which can also be imported and exported.
The authoritative document editor, which is part of the Knowledge module, allows users to manage authoritative documents, as well as edit the respective requirements and cross-reference them with those of other authoritative documents. People and groups of people can be included in the audience of these documents. Once published, all types of documents will be available for the audience in the Documents tab of the Home module. Any files attached to these authoritative documents can also be viewed by the audience.
Note: All authoritative documents have an ID comprised of three to six alphanumeric characters (generated by the support team during system installation), a period, and an additional six numeric digits, generated sequentially as authoritative documents are created. Requirements from authoritative documents also have an ID comprised of six alphanumeric characters, a period, and an additional ten numeric digits, generated sequentially as requirements are created.
The first six characters are used to identify the origin of the authoritative document or requirement, and can be viewed in the Information section of the Administration module. IDs for authoritative documents and requirements provided by Modulo always begin with MOD_EN. IDs for authoritative documents from ABC Company, Inc., for example, could begin with ABC01. The last set of digits is used to uniquely identify the authoritative document or requirement.
