How to Create a Response Set

1.    Access the Knowledge module.

2.    Select Response Sets from the Compliance Knowledge option on the menu.

3.    In the Response Sets section, click Create and select the Create New Set option (see figure below).

 

 

The system displays a screen where information on the new response set can be entered (see figure below).

 

 

4.    In the Title field, enter a name for the response set that will help identify it.

5.    In the Language field, select the language the new response set will be in.

6.    In the Description field, enter information that helps identify the response set.

7.    When finished, click Save. If you want to quit the operation, click Cancel.

 

The system displays a success message and enables the Response Options tab.

 

8.    In the Response Options tab, click Create to create an option (see figure below).

 

 

The system loads an area where you can create the option and determine the Compliance Index and Compliance Level for it (see figure below).

 

 

9.    In the Option field, enter the text that will appear as a possible answer to Compliance questions.

10. In the Compliance Index field, determine the percentage of the requirement’s fulfillment if this option is selected by an interviewee or reviewer.

11. In the Compliance Level field, determine the level of compliance the percentage set in the previous field represents to your organization. For some organizations, a Compliance Index of 90% is sufficient for the requirement to be considered compliant, while for other organizations it would only be considered partially compliant.

12. In the Description field, you can enter a description for the option if further details are necessary.

13. When finished, click Save. If you want to save the response option and create a new one, click Save and Create New. If you want to quit the operation, click Cancel.

 

Note: The response options must be consistent with the purpose of the response set. For example, if an option presents a Compliance Index greater than that of the previous option, the title and description must correspond to this growth. The minimum acceptable level of compliance will be used to determine the change from "Not Compliant" to "Compliant" or "Partially Compliant".

 

The system displays a success message.

 

14. Click the List Response Sets link to return to the main page.

 

Note: The status of the response set will show as "Being Edited" and must be published before it can be used in compliance projects.
